The selected candidate coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Performs activities under a moderate degree of supervision.

Specific responsibilities for this Irvine, CA -based ADMINISTRATIVE ASSOCIATE to include:

  • Manage assigned project scopes, budgets, and schedules. Work with internal and external customers as necessary to understand the project constraints.

  • Evaluate and monitor branch performance to ensure compliance and to determine need for changes. Monitor and follow applicable laws and regulations.

  • Purchase, track, and receive material for projects. Optimize product and vendor selection.

  • Manage inventory and maintain accurate inventory records. Maximize inventory turns.

  • Coordinate the billing process. Prepare billing documentation, keep records, and resolve accounting discrepancies.

  • Assist other team members as necessary to balance workload and ensure all business requirements are satisfied.

Qualifications

Experience, Education, Licenses, and Certifications :

  • High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

  • Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

  • Intermediate knowledge of Accounting preferred.

Physical Requirements:

  • Use of hands and fingers to operate tools and equipment; frequent standing, bending, reaching, crouching, crawling, pushing and pulling; moderate sitting and climbing; moderate exposure to hazards, weather and noise; lifting up to 50 lbs.
